1. About This Guide

This guide is the orientation document for the Quickvee POS app — the touchscreen register your staff use at the counter every day. It is written for store owners training new staff, for cashiers who want a single place to understand the app, and for managers who need a clear reference for the everyday workflows.

How to use it

If you're new to the counter, read Sections 2–6 in order. If you already know your way around, jump straight to the tile or workflow you need from Contents.


2. What Is the Quickvee POS App?

The Quickvee POS is the Android touchscreen app you use to ring up sales at the counter. It runs on a Sunmi K2 all-in-one POS terminal with a built-in barcode scanner, receipt printer, and customer-facing rear display.

Two surfaces, one business. The POS app and the web backend share the same underlying data. A product added on the web appears at the register; a sale rung up at the register appears in web reporting moments later. Think of them as two windows onto the same store. The hardware

Most Quickvee stores use a Sunmi K2 — a single, free-standing tablet that includes the screen, a 1D/2D barcode scanner, a thermal receipt printer, and a customer rear display. A cash drawer connects to the unit; a PIN-pad terminal sits alongside for card transactions; an optional label printer (Brother, Zebra, or DYMO) connects via the Hardware setup screen. 📝 Note. The POS terminal does not have a microphone or camera. Anything that would require those — voice notes, photo capture, face recognition — isn't part of the POS.


3. Getting Started

Getting from a powered-on terminal to a working register is a four-step path.

  1. Open the Quickvee POS app. From the tablet's home screen, tap the Quickvee POS icon.

  2. Log in to your store. Enter your Registered Store Name, Email, and Password and tap Login. The Need Help Resetting Your Password? link is on the same screen if you're locked out. Required fields are marked with an asterisk.

  3. Enter your 4-digit passcode. Each staff member has their own passcode for clocking in and ringing up sales. The clock and date display on this screen, along with a Call Me For Support button at the bottom. See Set up POS passcodes for managing these.

  4. You're on the POS Home. The store name appears top-left, the signed-in staff name appears top-right, and the eight feature tiles fill the screen. The Call Me For Support button is always available at the top centre.

⚠️ Important. Each staff member should sign in with their own passcode — never share. Passcodes link sales, time, and cash moves to the right person and are how the timesheet, reports, and audits stay accurate.

Register Lock & Passcode — step away without ending the shift

If you need to step away from the counter mid-shift without signing out, use the lock icon in the top-right of the Register. The screen locks and a passcode prompt appears. Anyone trying to use the register must enter the same staff member's passcode to unlock, or a manager's passcode to override. The shift remains open and the cart, if any, is preserved.

Lock vs Close Shift. Lock is for short breaks (bathroom, helping a customer outside). Close Shift is for end of day or handing off the drawer to another cashier.


4. POS Home — The Eight Tiles

The POS Home is the launchpad for every action at the counter. Each tile opens a dedicated area of the app.

The sales screen — adding items, taking payment, holding sales, applying discounts and coupons, gift card flows, lottery payouts, cash moves, and shift close. Section 6 covers it in depth.

Orders

The list of recent orders for this store — review a transaction, look up a receipt, process a refund.

Inventory

The on-device product catalog — search products, view stock levels, and use Print Label for any item with a UPC or custom code.

Dashboard

A quick read on today's sales performance on the device, mirroring the web Dashboard at a glance.

Customers

Look up a customer, add a new one, view loyalty points, store credit balance, and gift card balances tied to that customer.

Attendance

Clock-in / clock-out records for the staff at this station, with full shift history. Tied to the back-office Timesheet.

Station Settings

All hardware and station configuration — Receipt Template, Register Settings, Quick Add, Hardware (label printer + PIN-pad), Rear Display, and Manage Employees. Set once per station.

More

Extra utilities — Purchase Order receiving at the counter, View Gift Cards (look up any card the store has issued), and other less-frequent actions.

💡 Tip. Most cashier work happens in two tiles: Register for sales and Attendance for time. Owners and managers use Station Settings once at setup; Inventory for stock checks; and Customers when adding or looking up regulars.


5. Opening Your Shift

Before you can ring up a sale, you need to open a shift and tell the POS how much cash is in the drawer. The order matters. See Open a shift on the POS for the full walkthrough.

  1. Tap Register on the POS Home.

  2. Count the drawer. The Drawer Start screen lists every denomination — bills ($100, $50, $20, $10, $5, $2, $1) and coins ($1, $0.50, $0.25, $0.10, $0.05, $0.01). Enter the quantity of each. The running Total appears at the top right. Tap OK.

  3. Confirm the shift. The Start Your Shift dialog confirms who is opening and asks Are you ready to open your shift? Tap Start Shift.

  4. You're open. A confirmation appears with the shift open time. Tap OK and the Register is ready for sales.

Best practice. Count the drawer carefully at open. The end-of-day Expected Cash includes the starting drawer amount in its calculation — a sloppy opening count means an inaccurate Expected Cash and a messy reconciliation later.


6. The Register Tile

The Register is the main screen at the counter. Once you understand its zones and action column, you can run a full sale, hold a basket, apply discounts, ring up gift cards, take any tender, and close out the shift — all without leaving the screen. For the deeper walkthrough, see Ring up a sale.

6.1 Anatomy of the Register

Search row (three)

Search By Product Name · Search by UPC · Search Customer by Phone Number, email, or Add a customer. The plus button on the customer search adds a new customer on the fly.

Categories strip

Every active category from your catalog (Quickadd, Disposable Vapes, Lottery, Cigarettes, etc.). Tap a category to load its products into the workspace.

Number keypad

Quantity multipliers down the left side (2x – 11x), a numeric keypad with C (clear) and DEL, and a Custom button for free-form entry.

Action column

Custom Item · Discounts · Coupons · OTD Price · Issue Gift Card · Time Clock — the six everyday actions, one tap each.

Cart panel (right)

The current sale: items, subtotal, tax, the running total, a Cancel button, and the green Pay button (which becomes Pay ($amount) when items are in the cart).

6.2 Adding items to the cart

Five ways to add an item, in order of speed:

  1. Scan the barcode using the built-in scanner. Fastest path.

  2. Search by product name in the first search field (autocomplete suggests matches).

  3. Search by UPC in the second search field if the barcode won't scan.

  4. Tap a category in the strip, then tap the product tile.

  5. Use Custom Item for a one-off sale that has no product record. Enter the amount on the keypad first, then tap Custom Item — the line appears in the cart.

Set quantity by tapping a multiplier (2x – 11x) on the left of the keypad before adding the item, or change the quantity in the cart afterward.

Quick Add Product — creating a new item on the fly

When a fresh delivery arrives and the item isn't in the catalog yet, use Quick Add Product from the Additional Features menu (≡). Enter UPC (or tap Generate UPC), Product Name, Selling price, and Tax (DefaultTax checkbox). Tap Add. The product is saved to inventory immediately and is now available for future scans — not just this sale.

6.3 Adjusting prices — discounts, coupons, OTD, BOGO, Mix & Match

Quickvee has six distinct ways to take money off a sale at the register. Item Discount and the Discounts/Coupons/OTD trio are applied manually at the counter; BOGO and Mix & Match are pre-built deal rules that apply automatically when the cart qualifies.

📝 Note. Item-level discount applies to a single line; the manual whole-order tools (Discounts, Coupons, OTD) apply to the cart. BOGO and Mix & Match are pre-configured in the web backend and trigger automatically — the cashier doesn't need to do anything beyond ringing up the items that qualify. The Sale Summary shows the deal name and the dollars saved when one applies.

Mix & Match. A bundle rule — "any 3 disposables for $30", "buy 2 cigars get one free of equal or lesser value", etc. Defined in the web backend's Promotions → Mix N' Match module. At the register, scan or add items as normal; when the cart hits the rule, the bundle price replaces the line totals and a Mix & Match callout appears in the Sale Summary.

BOGO. "Buy one, get one" — also defined in the web backend's Promotions module. Triggers automatically when the qualifying second item is added. The free or discounted unit shows as a separate line in the cart with the BOGO label.

6.4 Verifying age — Check ID

Age-restricted items trigger an automatic Check ID prompt. You can also open it on demand from the Additional Features menu (≡).

  1. The Verify Customer Age dialog opens with the minimum age requirement (e.g. 21+) and the latest date of birth that qualifies.

  2. Scan the customer's driver's license or ID using the highlighted barcode area, or tap Cancel to remove the item.

  3. On a valid ID, tap Verify to continue. The sale proceeds.

⚠️ Important. Always scan the ID — don't eyeball it. The barcode scan reads the date of birth and the ID's expiration. Visual checks miss expired IDs.

6.5 Gift cards — Issue, Redeem partial, Redeem full

Issuing a gift card

  1. Tap Issue Gift Card in the action column.

  2. In the Load Gift Card dialog, scan the card or manually enter the card number.

  3. Tap Next, set the load amount, and complete the sale via the Payment screen like any other tender.

Redeeming a gift card — full balance

On the Payment screen, tap Gift Card → scan or enter the code → the Gift Card Balance dialog pre-fills the maximum amount the card can apply (the lower of the card's balance and the order's balance due). Confirm to redeem the full pre-filled amount. If the card covers the order, the sale completes; if not, the remaining balance is paid via another tender.

Redeeming a gift card — partial amount

Follow the same flow, but in the Gift Card Balance dialog edit the amount down to whatever portion the customer wants to use. The remainder stays on the card for future visits.

📝 Note. A gift card is a tender, not a discount. Subtotal and tax are calculated on the original cart amount — the gift card does not reduce the taxable subtotal. It only reduces what the customer needs to pay at the register.

6.6 Holding a sale & restoring it

  1. Tap Hold Sale in the top bar. The Hold Current Basket dialog asks for a unique Basket name (required) and a customer mobile number (optional).

  2. Tap Save Basket. The Held badge in the top bar increases.

  3. To return to a held basket, tap Held. The Select a Transaction to Restore list shows each saved basket by name, customer, and amount.

  4. Tap Restore on the basket you want. It reloads into the cart as if you never left it.

6.7 Taking payment

Tap the green Pay button to open the Payment screen. The Balance shown at the top is what the customer owes. Tap any tender:

More than one tender can be applied to the same order (split payment). After confirming, the Change Due dialog offers No Receipt, Payment Receipt, or Email Receipt.

📝 Note. When dual pricing (cash discounting) is enabled in Store Settings, the Cash and Card buttons show different totals. The Non-Cash Adjustment checkbox controls whether the surcharge applies to the current sale.

6.8 Receipts

After payment, the Change Due dialog gives three receipt options: No Receipt closes the sale silently; Payment Receipt prints to the receipt printer; Email Receipt sends a digital copy to the customer's email.

To reprint or email a past receipt, open the Additional Features menu (≡) → View Receipts. The list shows receipts for the current shift; tap one to view the full Order Details (Order Id, Date, Time, Employee Name, Total Items) and Order Summary (Gross Sale, Loyalty Points Redeemed, Discounts, Net Sales, Taxes broken down by rate), then use the print icon.

6.9 Cash management

Three flows for moving cash in or out of the drawer, plus No Sale to open it without a transaction. All four live under the Additional Features menu (≡). See Cash drawer operations for the full reference.

⚠️ Important. Drop Cash, Pay In, and Vendor Payout require a reason. The text you enter shows up in reporting later — a one-word reason today saves a long conversation at end of day.

6.10 Lottery & Scratcher payouts

When a customer comes in to claim a lottery or scratcher win, the payout is recorded as a cash payout from the drawer, separate from a normal sale. See Lottery payouts and Scratcher payouts for the detailed walkthroughs.

  1. Enter the payout amount on the keypad.

  2. Open the Additional Features menu (≡) and tap Lottery/Scratcher Payout.

  3. Choose Lottery Payout or Scratcher Payout. Each is recorded as its own line in reporting.

  4. Complete the prompted details and confirm. The drawer opens; hand the customer the cash.

📝 Note. Validating the winning ticket itself happens on the state's lottery terminal, which is a separate device. The Quickvee POS records the payout — it does not validate the ticket. Lottery products are also excluded from BOGO and loyalty points.

6.11 Time Clock — clocking in and out

Tap Time Clock in the action column to open the Clock In/Out screen. The screen shows the last check-in time and a single big button — Clock In or Clock Out depending on the current state. View Attendance opens the full history on this device. The same activity flows through to the Attendance tile and to the back-office Timesheet for pay-period approval.

6.12 Expected Cash & closing the shift

Two end-of-day steps: confirm what the system thinks should be in the drawer, then count and close.

Expected Cash. From the Additional Features menu (≡) → Expected Cash. The dialog shows the cash the POS believes is in the drawer right now — the opening Drawer Start total + cash sales − cash refunds − Drop Cash − Vendor Payout + Pay In − Lottery/Scratcher Payouts. Use this as the target for your physical count.

Close Shift. Tap Close Shift in the top bar. Count the drawer the same way you did at open — enter quantities for each bill and coin denomination. Confirm. The POS records the closing count, the difference vs. expected, and ends the shift. Reporting shows the close-out alongside the day's sales.


7. The Other Seven Tiles

7.1 Orders

The Orders tile shows recent transactions rung up at this store. Use it to look up a sale, view its full receipt, reprint or email a receipt, and process a refund.

Tap an order from the list to open it. The detail screen shows the same Order Details and Order Summary you'd see in View Receipts (Gross Sale, discounts, net sales, taxes by rate, tender breakdown). The Refund action lives on the order detail — open the order, tap Refund, choose which items or the full order, and complete the refund through the same Payment screen. Refunded amounts return to the original tender (cash, card, gift card, store credit).

7.2 Inventory

The Inventory tile is the on-device view of the product catalog. Use it to check stock levels at the counter, search a product, view its details (price, cost, UPC, category), and Print Label.

Tap a product, then Print Label. Choose the label paper size, then Print. The label prints to the configured label printer (Brother QL 800, Zebra LP 2824 PLUS / ZD411, or DYMO LabelWriter 550 — whichever is set up under Station Settings → Hardware). Useful when a barcode is missing or damaged.

📝 Note. Inventory is read-only on the POS — adding products and editing prices happens in the web backend. The exception is Quick Add Product from the Register's Additional Features menu, which adds an item to inventory on the fly.

7.3 Dashboard

The Dashboard tile shows today's sales performance on the device — total sales, transaction count, items sold, average order value, and other KPIs. It mirrors what the owner sees on the web Dashboard but trimmed to the at-a-glance figures cashiers and managers need on the floor.

7.4 Customers

The Customers tile is the on-device customer list. Use it to look up a customer by phone or email, add a new customer, and view the customer's loyalty balance, store credit balance, and gift card balances.

Adding a customer

  1. Tap the + button (or Add Customer).

  2. Enter Phone Number (the primary identifier), First Name, Last Name, and optional email and date of birth.

  3. Save. The customer is now available for sales — attaching them to a basket earns loyalty points and unlocks store credit at checkout.

Viewing a customer

Tap a customer in the list to see their loyalty point balance, store credit balance, gift card balances, and recent purchase history. From this screen the manager can also issue store credit or view detailed loyalty point activity.

Loyalty — viewing & managing points on the POS

Open the customer's detail, then tap the loyalty balance to expand the Loyalty section. The screen shows the current points balance, earn rate (points per $ spent), redeem value (points per $ off), and a transaction-by-transaction history of points earned and redeemed. Each entry shows the order ID, date, points delta, and the staff member who rang up the sale.

From the same screen the manager can manually credit or debit points (e.g. issuing goodwill points for a complaint), expire stale points, or remove a points balance entirely. All loyalty rules — earn rate, redemption value, expiry, eligible categories — are configured in the web backend's Loyalty Program module; the POS surfaces the live balance and history.

📝 Note. Loyalty applied at checkout is also available as a tender on the Payment screen — tap Loyalty to redeem points against the current order. The amount you can redeem is capped by the customer's available points and the order's balance due.

7.5 Attendance — clock records, breaks, pay periods

The Attendance tile is the on-device view of all the time data your employees generate at the counter. It is where managers spot missed clock-outs before payroll, see who took which breaks, and review the running pay period. The data itself comes from the same Time Clock events that staff tap from the Register; this tile is the listing and review surface.

The clock record list

Each row shows one clock-in / clock-out pair (or an incomplete entry if a staff member forgot to clock out): staff name, date, clock-in time, clock-out time, breaks total, and net hours worked. The list filters by date range and by staff.

Inside a single record — clock, breaks, and the timeline

Tap a record to open its detail. The screen lays out the timeline of the shift:

  • Clock-in event — timestamp and the staff member.

  • Break Start / Break End — pairs for each break taken during the shift (lunch, 15-minute rest break, etc.). The duration of each break is calculated automatically.

  • Clock-out event — timestamp and total hours worked (less break time).

  • Net hours — the bottom-line figure that flows to payroll.

Breaks & Compliance

Breaks are tracked separately because most US states have meal-break and rest-break rules tied to shift length. The Breaks & Compliance view on the back-office Timesheet flags shifts that may be out of compliance — for example, a 6-hour shift with no meal break recorded, or a break shorter than the state minimum. The POS itself doesn't enforce or block these; it records what actually happened, and the back-office Timesheet surfaces the exceptions for the manager to resolve.

⚠️ Important. Breaks must be clocked the same way as a shift — tap Time Clock to start the break, tap again to end it. Untracked breaks count as worked time on the timesheet.

Incomplete entries

If a staff member forgets to clock out, the entry shows in the list with an Incomplete flag and an empty clock-out time. The on-device view is read-only — the manager fixes it on the web Timesheet by entering the correct clock-out time before pay period approval. The same applies to a missing break end.

Pay period review

The Attendance tile's pay-period summary shows total hours per staff member for the current pay period, broken into regular hours, break time, and any overtime calculated by the back-office rules. Approval of the pay period happens in the web Timesheet — once a period is approved, no further edits are possible to that period's entries.

📝 Note. Clock-in / clock-out at the register Time Clock action and at the Attendance tile are the same event — they both go to the same Timesheet record. Use whichever is convenient.

7.6 Station Settings

Station Settings is where the per-station configuration lives. Set this up once when you install the POS; revisit it only when hardware changes or layout preferences change.

Choose the logo, header lines, footer lines, font size, and what shows on the printed receipt — store address, phone, return policy, social handles.

Register Settings

Default behaviors at this register — auto-print receipt on/off, default tender focus, prompts for customer on every sale, etc.

Quick Add

Configure which products appear in the Quickadd category — the fast-access shelf for items you sell most.

Hardware

Pair and configure connected hardware: PIN-pad (PAX) terminal, label printer (Brother / Zebra / DYMO), barcode scanner, cash drawer.

Rear Display

Configure the customer-facing rear display — what shows when idle (logo, ads, store image), and what shows during a sale (running total, line items, change due).

Manage Employees

Manager-level — add or edit staff who can sign in at this POS, set or reset their 4-digit passcodes, assign role and permission categories, deactivate departed staff.

Label printer — three models supported

Brother QL 800, Zebra LP 2824 PLUS (and the newer ZD411), and DYMO LabelWriter 550. Each is set up under Station Settings → Hardware → Setup Label Printer; pick the model, choose the default label paper size for that printer, tap Check to test, and Save. Setup is per-station — each register pairs with its own label printer. See Set up a label printer (POS).

Manage Employees — adding staff, setting passcodes, permissions

The Manage Employees screen lists every staff member who can sign in to any POS at this store. Each row shows the staff name, role, last sign-in, and active/inactive status.

Adding or editing a staff member

  1. Open Station Settings → Manage Employees and tap Add Employee (or tap an existing row to edit).

  2. Fill in the employee detail form: First Name, Last Name, Email, Mobile, Role (Cashier, Manager, Owner, or a custom role from the back office), Date of Hire, and an optional photo.

  3. Set the 4-digit POS Passcode — this is what the staff member taps at sign-in. Passcodes must be unique per staff member at the store. Tap Reset Passcode to issue a new one if a staff member forgets theirs.

  4. Set permission categories. The standard categories control what the staff member can do at the POS: process refunds, apply discounts above a certain amount, void sales, run Vendor Payouts, view Expected Cash, close another user's shift, manage employees, manage settings. The Owner role has every permission by default; Cashier is the most limited.

  5. Toggle Active / Inactive. Inactive staff cannot sign in but their historical sales and time records are preserved.

  6. Save. The staff member is now available at any POS station for this store.

⚠️ Important. POS access vs Backend access are separate permissions. A cashier who can sign in to the POS may not have any access to the web backend, and an owner who manages the back office may not have a POS passcode at all. Both are set on the same employee record.

Best practice. Reset passcodes immediately when a staff member leaves. Don't recycle passcodes — assign a new unique 4-digit code to each new hire.

Full employee management — assigning custom roles, granular permission editing, viewing the full audit trail of who-did-what — lives in the web backend's Employee Management module. The POS surfaces enough to add, edit, and deactivate staff at the counter without going back to a browser.

The More tile is the overflow shelf for less-frequent but important actions. Two stand out: Purchase Order (receiving stock at the counter) and View Gift Cards (looking up any gift card the store has issued).

Purchase Order at the POS

When the back office has created a PO for the vendor that just delivered, open More → Purchase Order on the POS. The list shows open POs for this store. Tap a PO to open it; scan or tap each received item to confirm quantity received. Save when done — the PO's status updates and the inventory increments by the received amounts, which is then visible in the Inventory tile. See Create purchase orders on the POS.

📝 Note. The PO itself is created in the web backend (Purchase Orders module). The POS handles the receiving step — confirming what physically came in. This keeps stock counts accurate without the back-office user having to count delivery boxes.

View Gift Cards — searching every card the store has issued

More → Gift Card opens the full gift card register for this store — every card the store has ever issued, with its current balance, original load amount, issue date, and the customer it was assigned to (if any). Use this screen to look up a specific card, check a balance for a customer at the counter, or audit issuance history.

Looking up a card

  1. Open More → Gift Card.

  2. Search by gift card number (scan or type), by customer phone, or by customer name. The list filters as you type.

  3. Tap a card row to open its detail.

Inside a single card

The card detail shows: Gift Card Number, Issue Date, Original Load Amount, Current Balance, Customer (if assigned, with their phone and email), and a full transaction history — each redemption and reload with order ID, date, amount, and staff member.

📝 Note. Issuing a new gift card and redeeming a card both happen at the Register — see Section 6.5. This More → Gift Card screen is read-only: it's the lookup, balance check, and history view, not the place to issue or redeem.


8. Common Workflows

The handful of end-to-end routines that stitch tiles together.

Opening the day

  1. Sign in to the POS app and enter your passcode.

  2. Tap Register; count and enter the Drawer Start.

  3. Confirm Start Shift.

  4. If needed, briefly check Inventory or Dashboard for the day's stock or yesterday's close.

A complete sale

  1. Add items by scan, search, category, or Custom Item; set quantity via multipliers.

  2. Optionally attach a customer (phone, email, or +) for loyalty / store credit.

  3. Apply Item Discount, Order Discount, Coupons, or OTD Price as needed.

  4. If age-restricted, scan the customer ID at the Check ID prompt.

  5. Tap Pay → choose tenders (Cash, Credit, Debit, EBT, Gift Card, Loyalty, Store Credit). Split as needed.

  6. Confirm; choose No Receipt / Payment Receipt / Email Receipt.

A refund

  1. From POS Home, tap Orders (or from the Register, ≡ → View Receipts).

  2. Find and open the original order.

  3. Tap Refund. Choose Full Refund or Refund Selected Items.

  4. Complete the refund through the Payment screen; funds return to the original tender.

Closing the day

  1. ≡ → Expected Cash — note the figure.

  2. Tap Close Shift.

  3. Count the drawer (same denomination grid as Drawer Start).

  4. Confirm. The POS records the closing count and difference vs. expected; the day's reporting closes out.


9. Tips & Best Practices

One staff, one passcode. Don't share. The audit trail is only as good as the sign-in.

Count slowly at open and close. A clean opening count makes the closing reconciliation trivial. A sloppy one leaves you hunting for $7 at midnight.

Always note a reason on cash moves. Drop Cash, Pay In, and Vendor Payout each take a reason. "Safe drop", "changed $20", "Coke delivery" — anything is better than nothing.

⚠️ Lock — don't sign out — for short breaks. The lock icon preserves the shift and the cart. Close Shift is for end of day.

⚠️ Hold sales rather than cancel. If a customer steps away mid-sale, use Hold Sale with their name. Cancelling and re-ringing wastes time and loses the cart.

⚠️ Always scan the ID, don't eyeball it. The barcode scan reads the date of birth and expiration. Visual checks miss expired IDs.

💡 Quick Add is for emergencies, not data entry. If you find yourself using Quick Add repeatedly for the same items, those items belong in the back-office catalog with proper categories and cost.

💡 Receive POs at the counter as deliveries arrive. Using the Purchase Order flow on the POS keeps inventory accurate in real time, instead of waiting for someone to reconcile boxes in the back office.


10. Frequently Asked Questions

Signing In, Shifts & the Lock Screen

Q. How do I sign into the POS?
A. Open the Quickvee POS app on the tablet, enter your store's name, email, and password, then your 4-digit personal passcode.

Q. I forgot my passcode. What now?
A. Ask a manager to reset it from the web backend (Employees → Employee Management). The store password can be reset using Need Help Resetting Your Password? on the login screen.

Q. Do I have to count the drawer to open a shift?
A. Yes. The Drawer Start records the opening total so the end-of-day count can be reconciled. Skipping it makes Expected Cash inaccurate. See Open a shift on the POS.

Q. I need to step away for two minutes — what do I do?
A. Tap the lock icon in the Register's top-right. The screen locks, the shift stays open, and the cart is preserved. Re-enter your passcode to unlock.

Q. Can two staff share a shift?
A. Each staff member clocks in and out under their own passcode. The drawer itself is shared per station, but who rang up what is tied to the signed-in user.

Ringing Up Sales & Adjusting Prices

Q. A barcode won't scan.
A. Search by name or UPC, tap the product's category and pick it, or use Custom Item to ring up an amount.

Q. A customer wants to buy something not in inventory.
A. Use Custom Item for the amount. If you'll sell it again, add it via Quick Add Product or properly in the back office later.

Q. How do I sell multiple units of one item?
A. Tap a multiplier (2x – 11x) before adding, or change the quantity in the cart afterward.

Q. What's the difference between Item Discount, Discounts, Coupons, and OTD Price?
A. Item Discount is for one line in the cart. Discounts is a custom % or $ off the whole order. Coupons applies a pre-built coupon (code, minimum, validity). OTD Price is a custom order-level adjustment shown as Discount (OTD).

Q. The Cash and Card totals are different — why?
A. That's dual pricing (cash discounting). It's enabled in Store Settings. The Non-Cash Adjustment checkbox on the Payment screen controls how it applies.

Q. How do I attach a customer to a sale?
A. Customer search bar (phone or email), or tap the + to add a new customer. Attaching is what earns loyalty points and unlocks store credit.

Holds, ID & Gift Cards

Q. A customer stepped away mid-sale.
A. Tap Hold Sale, name the basket (their name works well), save. Restore from Held when they return.

Q. The Check ID dialog appeared. What do I do?
A. Scan the customer's ID barcode in the highlighted area. The POS reads the date of birth and ID expiration and either lets the sale continue or blocks it.

Q. A customer wants to buy a gift card.
A. Tap Issue Gift Card in the action column. Scan or enter the card, set the amount, complete the sale on the Payment screen.

Q. A customer wants to pay with a gift card — for the full amount.
A. On Payment, tap Gift Card → scan or enter the code → confirm the pre-filled amount. The card balance applies in full (or up to the order total). See Redeem a gift card — full balance.

Q. …for only part of the balance?
A. Same flow — but edit the Gift Card Amount down to the portion the customer wants to use. The remainder stays on the card. See Redeem a gift card — partial amount.

Q. How do I view a customer's gift card balance?
A. Customers tile → open the customer → their gift card balances are listed alongside loyalty points and store credit.

Cash, Lottery & Receipts

Q. The drawer is short on change.
A. ≡ → Pay In with a reason (e.g. "changed $20").

Q. I need to take money out for safe drop.
A. Enter the amount on the keypad → ≡ → Drop Cash. Always add a reason.

Q. A vendor came in for payment.
A. Enter the amount → ≡ → Vendor Payout. Pick the vendor and add invoice or reason details.

Q. How do I pay out a lottery winner?
A. Enter the payout amount → ≡ → Lottery/Scratcher Payout → choose Lottery Payout (or Scratcher Payout for scratchers) → confirm.

Q. How do I just open the drawer for change?
A. ≡ → No Sale. The drawer opens and the action is logged.

Q. How do I reprint a receipt?
A. Either ≡ → View Receipts (current shift), or the Orders tile (any past order). Open the order and use Print or Email.

Q. How do I process a refund?
A. Open the Orders tile (or ≡ → View Receipts), open the order, tap Refund. Refunds return to the original tender.

Inventory, Customers & Setup

Q. Can I edit a product on the POS?
A. No — edits are made in the web backend. The exception is Quick Add Product from the Register, which adds a brand-new item on the fly.

Q. How do I print a barcode label?
A. Inventory tile → tap the product → Print Label → pick paper size → Print. Make sure the label printer is paired under Station Settings → Hardware.

Q. Which label printers does Quickvee support?
A. Brother QL 800, Zebra LP 2824 PLUS (and ZD411), and DYMO LabelWriter 550. Pair under Station Settings → Hardware → Setup Label Printer.

Q. A new customer just walked in. How do I add them?
A. Customers tile → + → enter phone, name, optional email and date of birth → Save. Or use the + on the Register's customer search bar to add them mid-sale.

Q. How do I set up the receipt with my logo?
A. Station Settings → Receipt Template. Add the logo, store header/footer lines, and any return policy or social handles. Saves to this station.

Q. A delivery just arrived against an open PO. How do I receive it?
A. More tile → Purchase Order → tap the open PO → scan or tap each item received → Save. Inventory updates immediately.

Q. How do I check the balance on a gift card a customer brings in?
A. More tile → Gift Card → search by card number or customer phone → tap the card to see the current balance and full transaction history. (To redeem the card, go to the Register and use the Gift Card tender on the Payment screen.)

Employees, Loyalty & Promotions

Q. How do I add a new cashier?
A. Station Settings → Manage Employees → Add Employee. Fill in name, role, contact, 4-digit POS passcode, and permission categories. Save.

Q. A staff member forgot their passcode.
A. Station Settings → Manage Employees → tap the staff row → Reset Passcode → set a new 4-digit code. Issue the new code only to that staff member.

Q. I want to deactivate a staff member who left.
A. Station Settings → Manage Employees → tap the row → toggle Active to Inactive. They can no longer sign in, but their historical sales and time records stay intact.

Q. Where do I check a customer's loyalty point balance?
A. Customers tile → open the customer → the loyalty balance is on the main detail. Tap to expand for the full earn-and-redeem history.

Q. How do I give a customer goodwill loyalty points?
A. Customers tile → open the customer → tap loyalty → manual credit (manager permission required). Enter the points and a reason.

Q. Can a customer redeem loyalty points at checkout?
A. Yes — on the Payment screen, tap Loyalty as a tender. The amount available is capped by their points balance and the order's balance due.

Q. What's the difference between Coupons, BOGO, and Mix & Match?
A. Coupons are cashier-applied (pick from the list or enter a code). BOGO ("buy 2 cigars get 1 free") and Mix & Match ("any 3 disposables for $30") apply automatically when the cart matches their rules. All three are configured in the web backend's Promotions module.

Q. A Mix & Match deal didn't apply at the register.
A. Check the back-office Promotions module to confirm the deal is active, within its date range, and that the cart actually matches the rule (right products, right quantities). Lottery and gift card items are excluded from all promotions.

Time & Closing

Q. How do I clock in or out?
A. Tap Time Clock in the Register action column, or open the Attendance tile from POS Home. Either takes you to the same Clock In/Out screen.

Q. I forgot to clock out yesterday.
A. A manager can correct missed clock-outs from the back-office Timesheet before payroll. On-device records flag incomplete entries so they're easy to find.

Q. How do I record a meal break?
A. Tap Time Clock to start the break, then tap Time Clock again to end it. Untracked breaks count as worked time on the timesheet.

Q. How do I see who's clocked in right now?
A. Attendance tile — entries with no clock-out time are open shifts. The pay-period summary at the top shows total hours per staff member.

Q. Why does Breaks & Compliance flag one of my shifts?
A. Most US states require a meal break for shifts over a certain length, or a minimum break duration. The back-office Timesheet's Breaks & Compliance view flags any shift that may be out of state rules. The POS records what happened; the manager resolves the exception on the web before approval.

Q. How do I close my shift?
A. ≡ → Expected Cash, then tap Close Shift in the top bar. Count the drawer the same way you did at open, confirm.

Q. Expected Cash doesn't match what's in the drawer.
A. Recount physically. Then check for missed Pay In / Drop Cash / Vendor Payout entries, lottery payouts not recorded, or refunds processed in cash.
