Employee directory

The Employee Directory is your team's contact reference list. Unlike the other Employee reports — which all measure sales, hours, or transactions over a date range — the Directory is a static lookup view. One row per employee, showing the contact details on file: name, phone, email, and home address.

Use it when you need to call someone in on short notice, send a payroll envelope, update an emergency contact list, mail a W-2, or just verify that the team roster on file is accurate.

Access path: Sign in to your merchant backend → side menu → ReportingEmployees → and from the Employee Reports dropdown at the top of the page select Employee Directory.

Finding an employee

The Directory has no date range, no filters, and no quick-range buttons — because it's not a transaction report. The only control at the top is a single search bar: Search by Employee Name.

Type any part of an employee's name and the table filters live as you type. The search is case-insensitive and matches against any portion of the name — typing and returns Andrew, Sandra, and anyone else whose name contains those letters.

Export report

The Export report link at the top-right downloads the full Directory as a spreadsheet you can open in Excel or Google Sheets. The export preserves the same columns shown on screen and is the right starting point for sharing a contact list with your accountant, a compliance auditor, or an external HR service.

Tip: Export the Directory once a quarter and store it with your other HR records. It's the cleanest way to keep a point-in-time snapshot of your team roster.


Reading the report

The Directory is a single flat table with four columns:

Column

What it shows

Name (sortable, ⓘ)

The employee's display name as recorded in Employee Management. Sortable A→Z or Z→A. Carries an info tooltip in the header.

Contact (ⓘ)

The employee's primary phone number, formatted (XXX) XXX-XXXX.

Email (sortable, ⓘ)

The email address on file. Used for system notifications, password resets, and login if the employee accesses any web tools. Sortable.

Address (ⓘ)

The street address on file, formatted as a single line: street, city, state, ZIP.

Hover over the ⓘ icon next to any column header to see exactly which field that column draws from in Employee Management — useful when you're not sure whether Contact is the work phone or the personal phone, or whether Email is the login email or a separate contact email.


Where this data comes from

Every row in the Directory comes from the employee's profile in Customer Management → Employees (or Reporting → Employees → Manage Employees depending on your account layout). Whatever's in the Phone Number, Email, and Address fields on the employee profile is exactly what shows up here.

To update an employee's contact info:

  1. Side menu → Customer ManagementEmployees.

  2. Find the employee in the list and open their profile.

  3. Update Phone Number, Email, or Address.

  4. Save.

  5. The change appears in the Directory immediately.

Phone numbers are stored normalized. If a leading zero, country code, or extension goes missing from the Directory, the field probably needs reformatting in Employee Management. Standardize on the (XXX) XXX-XXXX format to keep the Directory display consistent.

Email addresses must be unique across your team. The system won't let two employees share the same email, even if the previous holder of the email was permanently deleted — restore the deleted employee or use a fresh email for the new hire.

Open the Directory, find anyone listed, dial the Contact number.

Where do I send year-end tax forms?

Export the Directory — every employee's mailing address is in the Address column.

Did the new hire's contact info get entered correctly?

Search by their first name, verify every column has the expected value.

Is anyone's email address looking stale?

Run Export, sort by Email in a spreadsheet, look for typos, duplicates, or generic placeholder emails.

Build a phone-tree for emergencies

Export, paste into a shared document, distribute to your shift leads.


Notes

  • Only active employees appear in the Directory. Employees who have been deleted or permanently removed are excluded.

  • The Directory does not show employee roles, permissions, hourly wage, or store assignment — those live in Employee Management. Use the Directory for contact info only.

  • There is no per-row edit action on the Directory — it's read-only. All edits happen in Employee Management.

  • The Directory is not filtered by outlet. It shows every active employee across your account, regardless of which store(s) they're assigned to.
